Privacy Policy
Effective: [date to be set at launch]
The short version. KruSource collects what it needs to run field service and job costing for trade businesses. We do not sell personal information. Location is used for travel time only while a tech is clocked in. Voice notes never change a job unless a person taps to confirm. You can delete your account at any time.
1. Who we are
KruSource is field service and job costing software made by KruSource LLC, a Georgia limited liability company ("KruSource," "we," "us"). This policy covers the KruSource website, the KruSource web app, the KruSource mobile apps for iPhone and Android, and the online booking pages we host for businesses (together, the "Service").
2. Businesses and their customers
KruSource is used by trade businesses (our "Customers") and their employees and contractors ("Users," such as technicians and office staff). Customers enter information about their own clients, such as names, addresses and phone numbers, to schedule and invoice work.
For that client information, the Customer decides what is collected and why, and KruSource processes it on the Customer's behalf. If you are a client of a business that uses KruSource and have a question about your information, please contact that business first. We will help them respond.
3. Information we collect
Information you or your business provides
- Account information: name, email address, phone number, company name, role, and login credentials.
- Customer contact information entered by businesses: names, service addresses, phone numbers and email addresses of the business's clients, plus notes about their jobs.
- Job records: estimates, schedules, job stages, time entries, parts and inventory used, invoices, payments, bills and related accounting records.
- Job photos: photos a User takes or uploads to document work.
- Receipts: photos of receipts and the amounts and job codes attached to them.
- Signatures: a customer's signature captured on the device to approve an estimate or completed work.
- Voice notes: audio a User records in the app and the text transcribed from it.
- Booking requests: information a member of the public enters on a business's KruSource booking page, such as name, contact details, address and a description of the work needed.
- Support messages: anything you send us when you ask for help.
Information collected automatically
- Location: when a technician is clocked in, the app uses device location to record travel time and arrival at a job. We do not collect location when the User is clocked out.
- Device information: device model, operating system version, app version, language, and crash and error logs.
- Usage information: pages and screens used, actions taken, and dates and times, to keep the Service working and improve it.
Payment information
Subscription and customer payments are handled by our payment processor. KruSource does not store full card or bank account numbers.
4. Device permissions
| Permission | Why we ask |
|---|---|
| Camera and photos | To attach job photos and receipt images to a job. |
| Microphone | To record voice notes. Recording only happens when you press record. |
| Location | To record travel time and job arrival while you are clocked in. |
| Notifications | To tell you about new or changed jobs. |
You can turn any permission off in your device settings. Some features will not work without it.
5. How we use information
- To provide the Service: scheduling, dispatch, job tracking, job costing, invoicing, payments, inventory and month-end close.
- To send messages a business has turned on, such as "on my way," "job done" and review requests.
- To transcribe voice notes and suggest changes to a job. Suggested changes are never applied without a User confirming them.
- To send job and accounting data to QuickBooks Online when a business connects it.
- To provide support, keep accounts secure, prevent fraud and fix problems.
- To improve the Service.
- To comply with law and enforce our Terms of Service.
We do not use Customer job data or customer contact information to advertise to anyone.
6. Who we share it with
We share information only with service providers that help us run KruSource, under contracts that limit their use of it to providing services to us:
- Cloud hosting to store data and run the Service.
- Email delivery to send invoices, estimates, receipts and account emails.
- Payment processor to process subscription and customer payments.
- Text messaging to send customer messages a business has turned on.
- Speech-to-text to transcribe voice notes.
- QuickBooks Online (Intuit), only when a business chooses to connect its QuickBooks account. Once data reaches QuickBooks, Intuit's own privacy policy applies to it.
We may also share information when the law requires it, to protect the rights and safety of people or the Service, or as part of a merger, sale or reorganization of KruSource, in which case this policy will continue to apply to the information transferred.
7. No sale of personal information
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
8. How long we keep it
We keep information for as long as the account is active and as needed to provide the Service. When an account is deleted, we delete or de-identify its information within 30 days, except records that must be kept longer for legal, tax or accounting reasons, such as issued invoices and payment records, and short-term backups that are overwritten on a regular schedule. See Delete your account for details.
9. Security
We use reasonable administrative, technical and physical safeguards, including encryption in transit, access controls and restricted employee access. No system is perfectly secure. If we learn of a breach affecting your information, we will notify you as required by law.
10. Your choices and deletion
- Access and correction: you can view and update most account information in the app, or ask us to help.
- Deletion: you can delete your account in the app at Settings → Account → Delete account, or by emailing us. See Delete your account.
- Messages: customers of a business can reply STOP to text messages or use the unsubscribe link in emails.
- Permissions: you can turn off location, camera, microphone and notifications in your device settings.
Depending on where you live, you may have additional rights to access, correct, delete or get a copy of your information. Contact us to make a request. We will not discriminate against you for using these rights.
11. Children
KruSource is a business tool and is not intended for anyone under 16. We do not knowingly collect information from children under 16. If you believe a child has given us information, contact us and we will delete it.
12. Where we operate
KruSource is operated from the United States, and information is stored and processed in the United States. This policy is governed by the laws of the State of Georgia and applicable United States law.
13. Changes to this policy
We may update this policy. If we make material changes, we will notify account owners by email or in the app before the changes take effect, and we will update the effective date above.
